Office of Shared Services, Cannington, WA

Shared Services is a business unit of the Department of Treasury and Finance. It provides a range of corporate services to government agencies in line with reforms identified in the State’s Review into the Effective Delivery of Government Priorities carried out in 2002.

The services provided to government agencies under a whole of government approach include human resources, financial services and online solutions. Underpinning the supply of these services are the principles of aggregation, standardisation, simplification and automation.

The Sierra/SupplyPro vending solution for managing office Supplies was a good fit in looking for efficiencies with aggregation, simplification and automation. The business unit employs more than 500 staff at its Cannington offices.

Deployment Profile:

A single SupplyPro SupplyAgent cabinet was installed to manage the Office Supplies for staff spread across two floors of the Cannington building, using customer supplied power and internet connections. Stationery from utility rooms across the two floors was consolidated into one machine, releasing about 100 m2 of floor space.

Staff access to the system uses their current site security access card.

The cabinet is the single source of supply for all contained Office Supplies including pens, pencils, highlighters, markers, pads, post it notes, files and folders, staples and staplers, labels, sheet protectors, glue, name badges and holders, adhesive tape, calculators and notebooks. All office supplies other than copy paper are stored.

Project Results

  • The system met with high staff acceptance [see graph], and was seen by many staff as a positive attribute of their office employment conditions.
  • OSS per capita Office Supplies consumption is more than 80% lower than the rest of the Treasury Department.
  • Automation of the stationery ordering process was estimated to have saved 1 to 2 FTE.
  • About two weeks stock is stored, requiring weekly refill.
  • Gross savings from system implementation are more than four times the system rental cost.
